How to Set up an SPF Record

An SPF record is a type of Domain Name Service (DNS) record that identifies which mail servers are permitted to send email on behalf of a domain. The purpose of an SPF record is to prevent spammers from sending messages with forged "From" addresses at a domain.

For example, ABC Company wants to email invoices through WinTeam from billing@abccomp.com. The email is actually sending from TEAM’s email servers but says that it is from abccomp.com.

The domain "abccomp.com" needs to include an SPF record that basically tells any receiving email addresses that TEAM’s email server is allowed to send emails on behalf of abccomp.com. If the SPF record is not set up, ABC Company’s customers' email accounts might reject the email as not authorized since the senders email address doesn't match the server that sent the email. The customer might not get the email at all, or you might get a bounce back.

NOTE: If you specified an email server within WinTeam > System > System Defaults, you also need to do this for your mail server.

Note: To set up an SPF record you must have administrator access to your domain. Typically SPF records are set up as "TXT" type records and follow a specific format.

If you do not have an SPF record set up already, use the following:

v=spf1 include:_spf.myteamasp.com ~all

If you already have an SPF record set up but it does NOT have TEAM's mail server information in it, add the TEAM "include" record into your current SPF record.

For example:

If you already have an existing SPF Record of: v=spf1 ip4:66.96.128.0/18 ?all

Add the TEAM information to your existing record: v=spf1 ip4:66.96.128.0/18 include:_spf.myteamasp.com ?all
